Refund and Cancellation Policy

ID REQUIREMENTS:

You must upload a copy of your passport, Canadian Permanent Resident (PR) card, refugee protection claimant document or Secure Certificate of Indian Status (SCIS) card during IELTS registration. Please note that we do not accept Travel Document, Study Permit, Work Permit, Driver’s License, or Provincial ID. Failure to provide valid ID will lead to test cancellation, with a partial refund following our refund policy.


Ensure you bring the same original ID document used for registration on test day; photocopies are not accepted. Failing to do so will result in test denial without a refund.

SPEAKING TEST SUBJECT TO CHANGE:

While we make every effort to accommodate your venue, date, and time slot preferences, we reserve the right to make modifications or replacements. Please note that your Speaking test may occur at a different venue from your Listening, Reading, and Writing tests.

LATE ARRIVAL POLICY ON TEST DAY:

If a test taker arrives after the designated time, they will be marked as absent. Please note that candidates who arrive late will not be eligible for refunds or transfers.

REQUESTING A REFUND OR CORRECTION:

When requesting a refund or correction, please provide the following details:

  • Your full legal name

  • Venue location

  • Test date

  • Reference number

Please contact us via email using the same email address you used during your online registration.

REFUND TIMELINE:

For refund requests, please allow up to 60 days for the funds to be returned to your original payment method, such as your credit card.

TEST TRANSFERS:

Regrettably, ETC Central cannot facilitate test transfers between candidates or test centers. This policy is consistent with the regulations established by the British Council IELTS.

TRANSFER RULES AND LIMITATIONS:

More than 14 Days (excluding the test day) before the test:

  • Transfer Period: You can request a transfer within 3 months from your initial test date.

  • Selecting a New Test Date: If you wish to reschedule, please choose a new test date within the next three months from your original test date. Selecting a date beyond this timeframe will be considered a cancellation.

  • Transfer Limit: Test Takers are eligible up to 5 transfers for a single registration. 

  • Transfer Fee: No fees apply when you request a transfer 15 days or more before your test date.

  • Registration Fee: Once the IELTS exam is successfully transferred, the registration fee is non-refundable. To initiate the transfer process, please contact us via email.

Between 5 Days to 14 Days before the test: 

  • Transfer request received between 5 days and 14 days prior to the test dates are subjected to 25% test fee. 

  • Any transfer request submitted before 5 days prior to the original test date will be declined. 

  • Exceptional situations—such as a domestic crisis, unavoidable legal or military obligations, medical conditions, or extreme weather—test takers may still be eligible for a test date transfer. To be considered, supporting documentation must be submitted within 48 hours of the request and no later than 24 hours after the scheduled test date. If the request is approved by the test centre, a 50% transfer fee will apply.

CANCELLATION AND REFUND POLICY:

You have the flexibility to cancel your IELTS test registration at any time before the scheduled test date by notifying your Test Centre. Refund terms are contingent on the timing of your cancellation and whether exceptional circumstances apply.

CANCELLATION TIMELINES:

  1. More than 14 Days Before the Test (excluding the test day): If you cancel your IELTS test registration more than 14 days before the test (excluding the test day), you will be eligible for a 75% refund of the total test fee.

  2. Within 14 Days before the Test (excluding the test day): Cancellations made within 14 days before the test (excluding the test day) the test fees are non-refundable.

SPECIAL CIRCUMSTANCES:

The following are considered special circumstances for test-day transfers or refunds:

  • A traumatic experience

  • Domestic crisis

  • Unavoidable legal or military obligation, verified by a letter from the government.

  • Serious medical conditions which prevent you from attending or performing normally on test day, supported by a medical note from a registered Medical Doctor.

  • Loss or Bereavement (the death of a close family member), substantiated by a death certificate to cancel the exam.

  • Civil unrest, extreme weather.

  • Special Circumstance requests require appropriate documentation or evidence, including but not limited to a medical certificate from a registered medical doctor, a death notice or certificate, a police report, or a government letter.

If you qualify for a special circumstance transfer or cancellation after the test day, the request must be made no later than five working days after the test date.


Please note that test takers who miss this timeline will NOT receive a transfer or cancellation and MUST reapply.

SUBMISSION OF REQUEST FOR REFUND OR TEST DATE TRANSFER:

To initiate the process, please send an email to your test center and include the required Request for Refund or Test Date Transfer Form, along with supporting documentation, within 5 days of your test date. Documents submitted after the 5-day period will be declined.

REFUND AND TRANSFER TERMS:

  • If your test center approves your case for exceptional circumstances, you will receive a refund, with a deduction of an administration fee based on the timeline of your request. 

  • If your test center does not approve your case, the terms outlined in the cancellation policy will apply.

TEST CENTRE EXCEPTIONS:

In certain situations, beyond the control of the test center, your scheduled test may need to be canceled. These circumstances include, but are not limited to, extreme weather conditions, natural disasters, civil unrest, and industrial action.
In such cases, your test center will make every effort to provide you with as much advance notice as possible. You will be offered the choice of transferring your test to a future date that suits your convenience.
